We strive to consider a range of needs in our setup and programming. We understand that individual requirements vary, and we welcome communication from participants to help us improve accessibility wherever possible.

Venue and navigation:

The conference will take place at St Croix huset in Fredrikstad city center on 22 May. This venue has programming on the entry level floor (1st floor in Norwegian), a high 1st floor, and on the third floor. There is a lift between floors. There is one accessible bathroom on the 1st floor. There is a café area and an outdoor yard where it is possible to take breaks, as well as a quiet room. You will find the St. Croix House floor plans, with key spaces marked, at the end of this page.

Restrooms:

We will indicate accessible toilets on the venue map. Bathrooms will be marked as all-gender during the conference.

Seating, crowding, and pacing

Some sessions may be busy, and rooms can feel crowded at peak times.

  • Seating will be available in all sessions. We ask participants to prioritise chairs for those who need them.

  • If there are queues (for meals, registration, etc.), participants who cannot wait in line will be able to skip the queue – we will communicate how this works on-site.

  • Some workshops may include optional movement (stretching, dancing, short walks, etc.). These activities are always optional, and alternatives are welcome.

Sound, sensory needs, and quieter options

We recognise that sound levels, music, and busy social spaces can be difficult for some participants.

  • We will identify a quiet/low-stimulus space that can be used for taking breaks (this is marked in the floor plan)

  • In sessions that involve music or loud audio, we will aim to announce it in advance in the program or at the start of the session.

  • If you need adjustments (e.g., a seat close to the exit, a lower-volume option, short breaks, or support to step out), please let us know - either in advance or on-site

The sunflower system 

We will offer sunflower stickers at registration that you can place on your name badge. This is optional. A sunflower sticker can signal: “I may have a hidden disability or access needs - please be patient, and check in with me if needed.”
It does not mean you owe anyone an explanation. It simply helps create a culture where people move at different paces, communicate differently, or need flexibility—without having to justify it. We will briefly introduce the sunflower system at the start of the conference so everyone understands it and respects it.

Communication, language, and participation

The conference will primarily take place in English. We aim to keep language clear and accessible, and we will encourage facilitators to explain key terms and avoid assumptions about shared cultural references. If you need support (translation, interpretation, slower pacing, written summaries, or other communication adjustments), please tell us what would help and we will do our best to accommodate within our resources.

Wellbeing and environment

We aim to create a supportive and comfortable environment for all participants throughout the conference, including during evening activities. In the evening there will be a bar that serves alcohol. The quiet room will be a sober space.

Low Scent Policy

Strong scents can be a trigger for migraines and other health related issues. To help ensure everyone's wellbeing during the conference, we will be practicing a low-scent policy. You’re welcome to use the shampoo or deodorant you usually wear, but we kindly ask participants to avoid wearing perfume, essential oils or other strongly scented products.

Shared responsibility

Access is not only about facilities—it is also about our joint effort. We ask everyone to help create a conference culture where:

  • it’s ok to ask for what you need,

  • it’s ok to step out, take breaks, or join in differently,

  • We are patient and flexible with others.
